If Shortlist Nederland obtains your personal data, we will treat this data in accordance with this Privacy Statement.

We consider the protection of the personal data of our website visitors, job seekers and candidates, seconded employees, (temporary) employees, self-employed professionals, and business relations to be of great importance. Therefore, personal data is handled and secured carefully in accordance with the requirements set by the General Data Protection Regulation (GDPR).

1. Who are we?

Shortlist Nederland is located in Amsterdam (1066 CA) at Sloterweg 717, and is the 'data controller' in the sense of the GDPR for the processing of personal data described in this Privacy Statement.

 

This Privacy Statement applies to almost all data processing by Shortlist Nederland, including the processing that takes place through Shortlist Nederland's websites.

Personal data refers to all information about an identified or identifiable natural person. We collect personal data in various ways, including:

  • When you fill in or leave your data at our locations,

We collect and process your data for the following purposes:

  • Making offers for and/or providing and exchanging information about the services and other activities of the data controller.

  • Assessing the suitability and availability of job seekers and candidates, seconded employees, (temporary) employees, and self-employed professionals, for and/or for mediation to permanent/temporary job offers or assignments.

  • In the context of an agreement with the job seeker/employee/self-employed professional, for the preparation, conclusion, execution, and termination of (a) possible temporary employment, secondment, or employment contract(s), internship agreement, or assignment agreement.

  • In the context of an agreement with the client. For the preparation, conclusion, execution, and termination of agreements with clients for recruitment, selection, provision, and/or hiring of job seekers and candidates, (temporary) employees, and self-employed professionals.

  • Personnel and salary administration.

  • In the context of an agreement with a supplier. For the preparation, conclusion, execution, and termination of the agreement with suppliers that recruit, select, or provide job seekers, candidates, (temporary) employees, and self-employed professionals to (via) the controller (at the client).

  • For training, education, and other forms of career guidance and personal development. Also for the development and improvement of our services.

  • To inform about management, (conduct) internal control, business safety, and the conduct of audits and accountant control.

  • Legal and regulatory compliance. For identification, fraud prevention, conducting internal control and business safety, applying for subsidies, tax reductions, exemptions, and/or premium reductions, and other legal and regulatory compliance.

  • The legal basis for processing personal data may include the execution of a contract, compliance with a legal obligation, a legitimate interest, or your consent.

4. What personal data do we collect from you?

Shortlist Nederland may process the following personal data from you if you are a job seeker, candidate, seconded employee, (temporary) employee, self-employed professional, and/or business relation of Shortlist Nederland. You are responsible for ensuring that we have access to your correct and relevant data.

  • Data concerning the device you use to visit our website, such as an IP address.

  • Strictly necessary and voluntarily agreed cookie and similar data (see our Cookie Policy).

  • Voluntarily published data on our website or social media account (via social networks, comments on a blog, etc.).

  • Data voluntarily filled in or left on our website (via a contact form, an application form, etc.).

  • Name, address, email address, phone number, and other contact details.

  • Birth details, gender.

  • Curriculum vitae (CV), information about education, internships, and work experience.

  • Passport photo (if added to the CV).

  • Data about training and courses and/or tests you have taken or done yourself or through us.

  • Data about availability.

  • All data that candidates share with Shortlist Nederland through their cover letter, CV, or in other ways.

  • Other data that may be relevant in the context of assessing the suitability of the candidate, such as references and certificates.

  • For a more specific overview of your personal data, you can request access to that information.

  • If you work or have worked for Shortlist Nederland or its clients, Shortlist Nederland may process the following data:

    • Name, address, email address, phone number, and other contact details.

    • Birth details, age, gender.

    • Curriculum vitae (CV), information about education, internships, and work experience.

    • Data about training and courses and/or tests you have taken or done yourself or through us.

    • Data about availability.

    • Other data that may be relevant in the context of assessing the suitability of the candidate, such as references and certificates.

    • Nationality, BSN number & ID, work permit.

    • Data in the context of a pre-employment screening.

    • Other data related to personnel, salary, and absence registration.

  • For a more specific overview of your personal data, you can request access to that information.

  • Shortlist Nederland processes the personal data of individuals working for companies with which we do business with, such as employees of clients, suppliers, sellers, and references.

  • We may process the following personal data of business relations:

    • Business contact details.

    • Personal data that you provide to us in the context of attending events or meetings requirements and preferences regarding accessibility and diet.

5. With whom may we share your personal data?

Shortlist Nederland may disclose your personal data to suppliers and subcontractors who provide services or carry out assignments on behalf of Shortlist Nederland (processors), government agencies, and other business relations. We also provide data in cases where we are required to do so, for example, by a court order or judgment. Third parties to whom we provide your personal data are responsible for compliance with privacy legislation. Shortlist Nederland is not responsible nor liable for the processing of your personal data by these third parties. To the extent that a third party processes your personal data as a processor of Shortlist Nederland, Shortlist Nederland concludes a processing agreement with such a third party that meets the requirements described in the GDPR.

 

6. Do we process your data outside the Netherlands?

Your personal data may be transferred outside the Netherlands. Shortlist Nederland has taken the necessary measures to ensure that the transferred personal data is adequately protected.

7. Your rights

  • The right to access. This means that you can request access to the personal data we have collected from you.

  • The right to rectification or correction of your data if it is incorrect or incomplete.

  • The right to erasure of your personal data. Please note that there may be circumstances where we are obligated to retain your data to comply with legal and regulatory obligations.

  • The right to object to or request restriction of the processing of your personal data. Again, there may be circumstances where we are legally authorized not to comply with your request.

  • The right to data portability. This means you have the right to receive your data in a structured, commonly used, and machine-readable format. You also have the right to transmit this data to another data controller.

  • The right to object to wholly or partially automated decision-making. Shortlist Nederland currently does not use automated decision-making.

  • The right to lodge a complaint with a supervisory authority.

  • The right to withdraw your given consent. The withdrawal of your consent does not affect the processing carried out before the withdrawal; it only applies to future processing.

 

If you wish to access your complete personal data processing or exercise any of the rights described above, you can contact Shortlist Nederland via info@shortlistnederland.nl. Within one month of receiving a request, we will inform you by email of Shortlist Nederland's position on the request and the action taken or to be taken by Shortlist Nederland. In complex cases, the processing period may be extended by two (2) months. Shortlist Nederland will inform you of such an extension within the first month if applicable.

  • If a rejection ground applies to the request; and/or

  • The request is insufficiently specific; and/or

  • Your identity cannot be reasonably verified; and/or

  • The request follows an unreasonable interval after a previous request or otherwise constitutes an abuse of one of these rights. An interval of 6 months or less will generally be considered an unreasonable interval.

Shortlist Nederland takes all measures to optimally secure your personal data against unlawful use. Shortlist Nederland has implemented appropriate technical and organizational measures to secure your personal data against unauthorized or unlawful processing and against loss, destruction, damage, alteration, or disclosure. 9. Technical Information and Cookies

Technical Information: The Shortlist Nederland website automatically collect certain information about the devices of visitors to our websites, such as the Internet Protocol (IP) address of your computer, the IP address of your Internet Service Provider, date and time of access to the website, the internet address of the website from which you were directly linked to our website, the operating system you use, the parts of the website you visit, the pages of the website you have visited, and the information you have viewed, information about the type of device you use for your site visit, the geo-location where you are located, and the material you send or download from the website. This technical information is used for website management and system administration, and to improve the quality and effectiveness of the website.
